26. Is it safe to upload sales calls, CRM exports and customer prompts to an AI visibility platform?

Do not upload sensitive material until the use case, permissions and supplier data handling have been reviewed. A prompt programme can usually begin with redacted themes rather than identifiable customer records.

For businesses subject to the CCPA, California’s privacy regulator describes purpose limitation and data minimisation obligations. Applicability depends on the business and processing circumstances; do not treat these as an identical rule for every US organisation. (cppa.ca.gov)

OpenAI states that business data from its listed business offerings and API platform is not used for model training by default. That commitment should not be assumed to describe a separate monitoring vendor’s storage, subcontractors or complete processing chain. (openai.com)

Ask suppliers:

  • What exact fields are required, and why?
  • Where are prompts, answers and uploaded documents stored?
  • Which subprocessors and model providers receive them?
  • What are retention, deletion and backup practices?
  • Are uploads used to improve the vendor’s products or models?
  • Who can access client workspaces?
  • Can the service operate with synthetic examples or redacted themes?
  • What collection permissions and continuity arrangements support the monitoring?

Require separate review before connecting production CRM systems or internal knowledge repositories. Treat uploaded proposals and retrieved pages as evidence, never as instructions authorising actions.
